Settings

The Settings page is available to NetSuite Administrators. Use it to manage global NimbusDash defaults and configure AI assistant behavior for your account.

In NimbusDash, click Settings in the left navigation.

Only users with the NetSuite Administrator role can access this page.

Global settings apply across NimbusDash unless a specific dashboard saves its own setting.

Choose the default visual theme used by NimbusDash dashboards.

Available themes include:

  • Quartz Dark
  • Quartz Light
  • Balham Dark
  • Balham
  • Alpine Dark
  • Alpine
  • Material
  • Classic

Individual dashboards can still save their own dashboard-level theme. When a dashboard has its own saved theme, that dashboard setting takes precedence over the global default.

Use AI Configuration to choose the provider, set data limits, and control which roles can use NimbusAI.

For end-user workflows, see NimbusAI Overview and Creating AI Charts.

Enable Assistant is off until an administrator turns it on.

When it is off, users cannot open NimbusAI and the NimbusAI navigation item is hidden on the dashboard.

Choose which provider NimbusAI uses:

  • OpenAI uses your OpenAI API key stored as a NetSuite API Secret.
  • Anthropic uses your Anthropic API key stored as a NetSuite API Secret.
  • NimbusAI (included with your license) when your license includes the included provider.

If the account still has the included provider stored but the license does not include it, the label is NimbusAI (not available for this account) and the page explains that NimbusAI comes with a NimbusDash license.

For OpenAI, set OpenAI API Secret ID. For Anthropic, set Anthropic API Secret ID. Each field is a dropdown of NetSuite API Secrets.

Need a new secret? Create one opens NetSuite API Secrets under Setup > Company > Preferences > API Secrets. See NetSuite’s Creating Secrets guide for step-by-step instructions.

The value is the script ID, such as custsecret_openai_api_key, not the raw API key. NimbusDash reads the secret at runtime.

If no secrets exist, the page shows No NetSuite API Secrets found. Create one to get started.

When the included provider is selected, both secret rows are hidden and the page shows No API key needed. Switching to another provider keeps any secret IDs already stored.

Response Style is fixed on Fine-Tuned.

Help text explains that Fine-Tuned uses the recommended provider-specific model settings for NimbusAI. The page shows the preset for the selected provider:

  • OpenAI: gpt-5.4-mini, max 2,048 response tokens, reasoning effort low
  • Anthropic: Claude Haiku 4.5, max 2,048 response tokens
  • Included provider: No API key needed.

On OpenAI or Anthropic, choose what row-level data may be included:

  • Schema and grid state only
  • Include capped sample rows
  • Include capped filtered/sorted rows

Row Cap is 0 to 100, default 25. Help text explains that these options control rows only; Chart Context decides whether each column’s most frequent values are sent.

On the included provider, data context is fixed at Schema and grid state only. Row tiers and Row Cap are not offered. The server sends no rows, whatever was stored before.

For the included provider, NimbusAI runs on NimbusLabs’ Microsoft Azure account. Dashboard rows are never sent. What is sent is the question, the recent conversation, the dashboard’s structure and current grid state including filter values, each NimbusAI chart’s definition and title, and for each column its most frequent values and counts. When Chart Values is on, the labels and figures of each NimbusAI chart on the open tab are sent too. To send data to a provider your company contracts with directly, choose OpenAI or Anthropic. See NimbusAI Data Handling for full detail, including Microsoft’s policies for the Azure route.

Choose how much column information accompanies each request:

  • Column metadata only
  • Column metadata plus each column’s most frequent values (the default)

With the second option on, every request includes each column’s most frequent values (up to Top Values), how many distinct values the column has, and for number columns its lowest and highest value.

  • Stats Row Cap is 0 to 5,000, default 1,000: how many rows of the current view the values are taken from. At 0, no column values are sent.
  • Top Values is 1 to 25, default 8.

Choose whether NimbusAI chart figures are sent:

  • Not sent (the default on upgrade)
  • Each NimbusAI chart’s values

With Each NimbusAI chart’s values on, each NimbusAI chart on the open tab sends its tab name, category and series labels, figures, totals, and period-over-period changes. Up to 100 category points a chart can be sent, for up to 10 charts in a request, within a size limit. Those limits count chart points, not records or people. Labels and figures can identify or relate to individual records or people. Native grid charts (Add Chart) are not included. Each chart’s definition and title are sent either way. See NimbusAI Data Handling.

Do not submit special-category or sensitive personal data, payment card data, health data, or data subject to regulatory restrictions, including in column values, filter values, questions, and the conversation. This restriction applies on every provider, including your own key. See NimbusAI Data Handling.

  • Preview/Explain shows proposed changes before they apply.
  • Auto Apply applies supported changes when every required column is already resolved.
  • Allow all roles, or
  • A role multi-select for specific roles

Administrators can always configure Settings. This controls future assistant access for other roles. A user with full NimbusDash access can use NimbusAI without being listed. Users who are not allowed do not see NimbusAI in the navigation.

When the license requires acceptance, Settings tells you that an administrator of this NetSuite account needs to accept the current terms. Use Review and accept. The administrator confirms they are accepting for the company. Not now hides the prompt until the next session. NimbusDash otherwise keeps working. The included provider does not run until the terms are accepted.

If your company is on a signed agreement that needs an addendum, Settings shows Review and directs you to email legal@nimbuslabs.com. That path has no Accept button.

When the included provider is selected, Settings shows the percentage of this month’s NimbusAI allowance used and Resets with the date (UTC, first of the next month).

When the allowance is spent, the page explains that this month’s allowance is used, when it resets, and that until then you can choose OpenAI or Anthropic. There is no overage. A request already in progress may finish. Rate limits can pause use before the allowance is spent; the panel may say NimbusAI is busy and ask you to retry.

NimbusLabs sets the monthly allowance and may change or withdraw the included provider at any time. See NimbusAI Data Handling.

If your OpenAI API key is restricted, it must allow the Responses API. If it does not, NimbusDash adds: Allow the Responses API on this OpenAI API key, or use a key without restrictions.

Full-access administrators can set where NimbusLabs sends legal and data-protection notices for the NetSuite account. Notices include notice of a security incident affecting your company’s data and notice of a new subprocessor at least 30 days ahead, and nothing else. The address applies to the whole account, NimbusQL included.

When the field is empty, your company’s general email address is used.

The field is read-only in a sandbox, and read-only when NimbusLabs already holds an address in writing.

NimbusDash can send NimbusLabs events that record which features are used (for example, a dashboard was opened or a setting was changed), with counts, the page name, the NimbusDash version, the NetSuite environment type, and a random session identifier. The events contain no business-record contents, query text, AI prompts or responses, or other free-form content.

Nothing is sent until an administrator has acknowledged the notice and that user clicks Allow. The prompt buttons are Allow, Do not share, and What’s shared. Closing the prompt shares nothing.

A new installation of NimbusDash 4.0 or later can start with the account setting on. An account that already had a preference keeps it on upgrade. Each user can change their own choice.

See the Privacy Policy for how these events are handled.
